Ways to travel

A school trip is decided in March of the year before.

This page is for the people who accompany, not the ones who go. Whoever organises a school trip has constraints a student never imagines: board approvals, budgets signed off, teacher-to-pupil ratios, electronic invoicing. Everything else comes after.

The real timescales

Classes travel in spring, and the best availability is gone by the previous autumn. An enquiry in January for April finds what is left.

Teachers and group leaders

Their rooms are agreed: close to the group, single where possible. It is one of the first questions we ask, not the last.

Invoicing

For Italian state schools this means electronic invoicing to the public administration, with the office code and, where required, the tender reference. They are fields in the request form, so nobody has to chase them afterwards.

Under-18s

House rules, curfews and responsibilities are put in writing before departure. Dietary requirements are collected at confirmation, on a private channel: a public form is not the place for health data.

Before choosing a destination

Ferrara and Reggio Emilia are covered on foot or by bicycle: fewer transfers to organise and less time lost. Parma is convenient if you arrive by train. Campiglia is the choice for longer stays by the sea, with the class eating in every evening.

If the programme covers more than one city, you can ask for an itinerary: the hostels coordinate with each other and the enquiry stays a single one.

The real calendar

How you get to departure.

A school trip starts much earlier than it looks.

  1. September — OctoberDestination chosen, availability checked. This is when everything is still open.
  2. November — DecemberQuote, approval by the school board, letter to families.
  3. January — FebruaryConfirmation, deposit, near-final numbers. From here the dates no longer move.
  4. Two weeks beforeFinal list, dietary requirements, arrival time, emergency contacts.
  5. March — MayYou travel. This is the window when almost every Italian class moves.
