Rooms and teachers
Accommodation is worked out from the make-up of the class: numbers by gender, ages, and how many adults are travelling. Teachers' rooms are agreed — close to the group, single where possible.
Schools
A school trip is decided in March of the year before.
For whoever accompanies a class, price is not the only question. You need real capacity, rooms for teachers, meals, dietary requirements handled properly, clear timings and someone you can actually reach.
Meals and diets
All four hostels have a restaurant on site. Menus, timings and alternatives are agreed in advance; allergies and intolerances are collected at confirmation, on a private channel.
Arrivals and coaches
Timing, luggage unloading, parking and access are clarified beforehand. In a historic centre a coach cannot simply turn up.
Invoicing to the school
For Italian state schools, electronic invoicing to the public administration: office code and, where required, the tender reference. They are fields in the request form.
What we need to reply properly
Destination, dates, number of pupils and teachers, and the board you want. With those we can already say whether there is room.
Everything else — group make-up, ages, how you arrive, rough budget per person — saves three rounds of email. If your dates have any flexibility, say so: in spring it often makes the difference.
