We talk first, confirm after

No group is confirmed without speaking to whoever is accompanying it. It is not a formality: it is how we find out beforehand the things that otherwise surface on arrival, from how the rooms are split to food intolerances.

Two working days

That is how long we take to answer a group enquiry. It is not a sales promise: it is how long it takes to actually check availability, meals and rooms instead of saying yes and sorting it out later.

One number, one person

Every enquiry gets a reference number and reaches a person at the hostel you chose. If you call back quoting that number, whoever answers already knows what it is about.

In writing, what counts

Menus, timings, rooms for group leaders, payment terms: whatever has been agreed is confirmed in writing. It helps you and it helps us, and it removes the "but we said".

What is settled first and what later

First, and not negotiable: dates and hostel. Everything else depends on them, and moving them means starting the enquiry again.

First, but with room to move: number of people and how the group is made up. Within limits this can be adjusted until shortly before arrival — one person more or less is not a problem, ten is.

Later is fine: dietary requirements and accessibility needs. They are collected at confirmation, on a private channel, and can be updated until a few days before. They are health data: we do not ask for them on a public form.

Last minute: arrival time. If the train is late or the coach is stuck in traffic, a phone call is enough.

How far ahead should I ask?

For a group travelling in spring, the previous autumn. For an individual it depends on the season: August in Campiglia and May in Reggio, during Fotografia Europea, fill up much earlier.

Who answers enquiries?

A person at the hostel you chose, not a central switchboard. For enquiries covering several cities, the administration office answers and coordinates.

How long does a reply take?

Two working days. If you need it sooner you can call, quoting your enquiry number.

Can anything change after confirmation?

Numbers within limits, yes, and dietary requirements up to a few days before. Dates and hostel, no: everything else depends on them.
